Before You Begin — Unbox & Prepare

A few minutes of preparation prevents the most common setup frustrations. Don't skip this step.

Remove All Packaging Tape & Foam

Check inside the paper tray, around ink cartridge access area, and underneath. Missed tape is the #1 cause of paper jams on new printers. Use a flashlight to check every compartment.

Remove Orange Clips from Ink Cartridges

These are shipping protectors on the cartridge nozzles. They must be removed before installation. Leaving them on causes blank pages and "no ink" errors even with full cartridges.

Install Ink Cartridges or Toner

Open the cartridge access door and insert each cartridge until it clicks firmly into place. The printer will automatically initialize (1–2 minutes). An alignment page may print automatically — this is normal.

Load Paper Correctly

Fan the paper stack before loading to separate any stuck sheets. Adjust the paper guides so they fit snugly against the edges — not too tight (causing jams) and not too loose (causing skewed prints).

Power On & Check for Ready State

Connect the power cable and turn on the printer. Wait for full initialization (1–2 minutes). The display or indicator lights should show a "Ready" state. Any error light means a cartridge isn't seated or a door isn't closed.

Know your Wi-Fi details before connecting: Have your Wi-Fi network name (SSID) and password ready. Most home printers only connect to 2.4 GHz networks — if your router uses both 2.4 GHz and 5 GHz with different names, use the 2.4 GHz one. Passwords are case-sensitive.

How to Connect Your Printer to Wi-Fi

There are three ways to connect wirelessly. Choose the method that matches your printer and router.

Method 1 — Wireless Setup Wizard

Works on all Wi-Fi printers. Go to Settings → Wireless → Wireless Setup Wizard on the printer, select your network, enter your password.

Fastest – 2 Min

Method 2 — WPS Button

If your router has a WPS button: press and hold the printer's wireless button for 3 seconds, then press the router's WPS button within 2 minutes.

Easiest for New Printers

Method 3 — Manufacturer App

Download HP Smart, Canon PRINT, Epson Smart Panel, or Brother Mobile Connect. Open the app and tap "Set Up a New Printer" — it guides you through everything.

Method 1 Step-by-Step: Wireless Setup Wizard

Open Wireless Settings on the Printer

On the printer's touchscreen or control panel, navigate to Settings (gear icon) → Wireless or Network Setup. Then select Wireless Setup Wizard (may be labeled "Wi-Fi Setup" on some models).

Select Your Wi-Fi Network

The printer scans for available networks. Select your network name (SSID) from the list. If your network doesn't appear, move the printer within 6 feet of the router and try again.

Enter Your Wi-Fi Password

Use the on-screen keyboard to type your Wi-Fi password. Passwords are case-sensitive. Take your time — a single wrong character prevents connection. Most printers let you reveal the password as you type.

Confirm the Connection

Confirm and wait 30–60 seconds. The wireless indicator light should turn solid blue or green (not blinking). Blinking means still connecting; solid means connected successfully.

Print a Wireless Test Report

From the printer's Network or Wireless menu, print a Wireless Network Test Report. This confirms the connection details and shows the printer's IP address for future reference.

Pro tip: After successful Wi-Fi connection, print the Network Test Report and keep it somewhere safe. It shows your printer's IP address which you'll need if it ever goes offline.
Windows 10 & 11

How to Add a Printer to Windows

Once your printer is connected to Wi-Fi (or plugged in via USB), adding it to Windows takes under 2 minutes.

Open Printer Settings

Press Windows key + I to open Settings. Go to Bluetooth & devices → Printers & scanners.

Add the Printer

Click "Add device." Windows scans your network. When your printer appears in the list, click "Add device" next to it. Windows installs a basic driver automatically.

Set as Default & Test

Click your printer → "Set as default." Open any document → File → Print → select your printer → Print to confirm it works.

Windows 10

Open Devices Settings

Go to Settings → Devices → Printers & scanners. Click "Add a printer or scanner."

Select Your Printer

Wait while Windows scans the network (up to 30 seconds). Click your printer name when it appears. If it doesn't appear, click "The printer that I want isn't listed" → add by TCP/IP address.

Disable Auto Default Printer

Go to Settings → Printers & scanners → turn OFF "Let Windows manage my default printer." Then right-click your printer and select "Set as default printer."

Printer not appearing? Make sure the printer is powered on, connected to the same Wi-Fi network as your PC, and showing a "Ready" status. If still not found, try restarting both the printer and your computer, then check again.
macOS

How to Add a Printer to Mac

Macs support AirPrint natively for basic printing with no software needed. For scanning and advanced features, install the full driver.

Ensure Same Network

Confirm your printer and Mac are connected to the same Wi-Fi network name. If they're on different networks (e.g., printer on 2.4GHz, Mac on 5GHz), they won't see each other.

Open Printer Settings

macOS Ventura/Sonoma: Apple menu → System Settings → Printers & Scanners → click + (Add Printer).
Older macOS: Apple menu → System Preferences → Printers & Scanners → click +.

Select Your Printer

Your Mac scans the network. Click your printer when it appears. In the "Use" dropdown, select AirPrint for basic printing, or the manufacturer driver (if installed) for full features including scanning.

Test Print

Open any document → File → Print → select your printer → click Print. If prompted to download software, click Download & Install — this is the AirPrint driver from Apple.

Confirm Same Wi-Fi Network

Your iPhone/iPad and printer must be connected to the same Wi-Fi network. AirPrint only works over the local network — not Bluetooth.

Open What You Want to Print

Open a photo, document, email, or webpage. Tap the Share button (box with upward arrow). Scroll down and tap Print.

Select Printer & Print

Tap Printer — your AirPrint printer appears automatically. Select it. Choose number of copies and pages. Tap Print in the top-right corner.

Android Phones

Check Built-In Print Service

Go to Settings → Connected devices → Connection preferences → Printing. If "Default Print Service" is listed and enabled, you're ready to print — no app needed.

Install Mopria or Brand App if Needed

If no print service is set up: download Mopria Print Service from the Google Play Store (free), OR install your printer's brand app: HP Smart, Canon PRINT, Epson Smart Panel, or Brother Mobile Connect.

Print

Open any document or photo → tap the three-dot menu → Print → select your printer → tap the Print button. Make sure the printer is on and connected to the same Wi-Fi network.

No Wi-Fi available? Use Wi-Fi Direct — on the printer, go to Settings → Wi-Fi Direct → Enable. Your phone can connect directly to the printer's own wireless hotspot without a router.
USB Connection

How to Set Up a Printer via USB Cable

USB setup is simpler than Wi-Fi and is useful if you only need to print from one computer. You'll need a USB-A to USB-B cable (often not included in the box).

Install the Driver First (Before Plugging In)

Do not connect the USB cable yet. First visit the manufacturer's official driver page and download the full driver package. Run the installer — it will tell you exactly when to plug in the cable.

Connect the USB Cable When Prompted

When the installer asks for your connection type, select USB. Plug the USB cable from the printer into your computer when instructed. Windows or macOS will detect it automatically.

Complete Installation & Test

Follow the remaining installation steps. When finished, the printer appears in Printers & Scanners. Set it as default and print a test page to confirm the USB connection is working.

USB limitation: A USB-connected printer can only print from the one computer it's plugged into. To print from multiple devices (phones, tablets, laptops), set up Wi-Fi instead.

How do I connect my printer to Wi-Fi without a touchscreen?
Use the WPS button method: press and hold the wireless/WPS button on the printer for 3 seconds until the light blinks, then press the WPS button on your router within 2 minutes. Alternatively, connect via USB temporarily, install the driver, and use the printer software to configure Wi-Fi from your computer.
Why won't my printer connect to my 5 GHz Wi-Fi network?
Most consumer inkjet and laser printers only support 2.4 GHz Wi-Fi — they cannot connect to 5 GHz networks. If your router broadcasts both bands, select the 2.4 GHz network (often labeled with "2.4" or "_2G" at the end) during printer setup.
Do I need to install a driver to use my printer?
For basic printing, Windows and Mac often install a minimal driver automatically. However, for scanning, ink level monitoring, print quality settings, and full feature access, you should install the full driver from the manufacturer's official website. See our Drivers page for direct links.
My printer was working and is now offline — what happened?
This usually means the printer's IP address changed after a router restart. Try: restart the printer and router; on Windows uncheck "Use Printer Offline" in the print queue; remove and re-add the printer. See our full offline fix guide.
How do I find my printer's IP address?
Three ways: (1) On the printer: Settings → Network → Wireless Summary, or print a Wireless Network Test Report; (2) On Windows: Settings → Printers & Scanners → click your printer → Printer properties → Ports tab; (3) Log into your router admin panel (usually 192.168.1.1) and check the connected devices list.
My Mac says "Software is not currently available" — what do I do?
This means a full macOS driver hasn't been released for your exact macOS version yet. Use AirPrint for basic printing: in the Add Printer dialog, select "AirPrint" in the "Use" dropdown. Check the manufacturer's website periodically for updated macOS drivers.
